How to Convert PDF to Word for Free (Keeps Formatting)

Convert PDF to Word for free with four methods: a browser converter, Microsoft Word, Google Docs and OCR for scans. See what each keeps and what breaks.

The fastest free way is to open the PDF to Word converter, choose your PDF, keep Editable text selected and click Convert to Word. You get a .docx file with the headings, paragraphs, bold and italic text, lists and page breaks rebuilt, ready to edit in Word, Google Docs or LibreOffice. Scanned pages are read with OCR. The file is processed in your browser and never uploaded.

If you already have Microsoft Word, it can open most PDFs directly too. Below are four methods, what each one keeps, and how to fix the usual problems.

First, what kind of PDF do you have?

The method that works best depends on what’s inside the PDF:

PDF type How to tell What to use
Digital PDF (exported from Word, a website, an app) You can select and copy the text Any converter; the text comes out exactly
Scanned PDF (a photo or scan of paper) Text can’t be selected; it’s an image A converter with OCR (text recognition)
Mixed Some pages selectable, some not A converter that applies OCR only to image pages
Form or design-heavy PDF (brochures, forms, tables) Lots of columns, boxes, tables Expect to tidy the layout after converting

A PDF stores letters at exact positions on a page. It doesn’t store “this is a paragraph” or “this is a table”. Every converter has to guess the structure back, which is why simple documents convert almost perfectly and complex layouts need some cleaning up.

Method 1: In your browser (works on any device)

  1. Open the PDF to Word converter.
  2. Click Choose PDF file and select your PDF.
  3. Choose an output:
    • Editable text for documents you want to change. Text, headings, font sizes, bold, italic, lists and page breaks are rebuilt.
    • Pages as pictures if you need the Word file to look exactly like the PDF and only want to add a few notes. The pages can’t be edited as text.
  4. For scanned pages, keep Read scanned pages with OCR ticked and pick the document’s language.
  5. Click Convert to Word, then download the .docx file.

There’s no file-size cap, no watermark and no sign-up. Because it runs on your device, it’s a sensible choice for contracts, payslips or anything private.

Method 2: Microsoft Word

Word 2013 and later can open PDFs and convert them to editable documents.

  1. In Word, go to File → Open and choose the PDF.
  2. Word warns that it will convert the PDF into an editable document and that the result may not look exactly like the original. Click OK.
  3. Check the layout, then File → Save As and choose Word Document (.docx).

Word handles digital PDFs well and is good with simple tables. On scanned PDFs it does basic recognition, with mixed results.

Method 3: Google Docs (free, needs a Google account)

  1. Upload the PDF to Google Drive.
  2. Right-click it and choose Open with → Google Docs.
  3. Google runs OCR and opens an editable document.
  4. Choose File → Download → Microsoft Word (.docx).

Google Docs is good at pulling text out of scans, but it often drops images and simplifies the layout heavily. It’s best when you want the words, not the design. It also means uploading the file to Google.

Method 4: OCR first, then convert

For poor-quality scans, it can help to run OCR separately. The OCR PDF tool adds a searchable text layer to a scanned PDF. You can then convert that PDF to Word, or, if you only need the text, use PDF to text to get plain text you can paste anywhere.

Which method should you use?

You want to… Best method
Edit a normal digital PDF (report, letter, CV) Browser converter or Word
Convert a scanned letter or old document Browser converter with OCR, or Google Docs
Keep a private document off other servers Browser converter (processed on your device)
Keep the exact look, just add a few notes “Pages as pictures”, or edit the PDF directly
Only change a few words in a PDF Skip conversion and use the PDF editor

Fixing common problems after converting

Tables became lines of text. PDFs don’t store tables, only text positions. Our browser converter keeps each row’s cells on one line separated by tabs, so they still line up. In Word, select those lines and use Insert → Table → Convert Text to Table, choosing “Tabs” as the separator.

Strange line breaks in the middle of sentences. The PDF had hard line breaks at the end of each line. In Word, use Find and Replace: search for ^p (paragraph mark) and replace with a space, but only on the affected section, so you don’t merge real paragraphs.

Fonts look different. If the PDF used a font you don’t have, Word substitutes a similar one. Select all and set the font you want, or install the original.

Two-column layouts come out as one column. Most converters read columns in order and put them one after the other. Use Layout → Columns → Two to restore the layout if you need it.

OCR mistakes in names and numbers. OCR mixes up similar characters: 0 and O, 1 and l, rn and m. Always proofread names, amounts, dates and account numbers.

The file is huge. Pages-as-pictures output contains one large image per page. Use editable text output instead, or compress the images in Word (Picture Format → Compress Pictures).

Before and after converting

  • Can you convert it? If the PDF is password-protected and you know the password, remove it first with unlock PDF. Only do this for files you have the right to open.
  • Do you need Word at all? For signing, filling forms or adding page numbers, editing the PDF directly is faster and keeps the layout.
  • Going back. When you’ve finished editing, save the Word file as PDF (File → Save As → PDF) to send it on.

FAQ

Can I convert a PDF to Word without losing formatting?

Simple documents, such as letters, reports and CVs, convert with headings, paragraphs and lists intact. Complex layouts with columns, text boxes and tables are simplified, so expect some tidying. If the exact look matters more than editing, choose “pages as pictures”.

How do I convert a scanned PDF to an editable Word document?

Use a converter with OCR. It recognises the letters in the scanned image and turns them into editable text. Check names and numbers afterwards, because OCR isn’t perfect.

Is it safe to convert confidential PDFs online?

Many online converters upload your file to their servers. A browser-based converter that processes the file on your device avoids that. Check the tool’s privacy notes before using it for sensitive files.

Can I convert PDF to Word on my phone?

Yes. Browser converters work on iPhone and Android. Open the converter in Safari or Chrome, pick the PDF from Files, convert and save the .docx, then open it in Word or Google Docs on your phone.
